Be Clear About the Meeting Purpose By Sketching Out An Agenda

Hold a meeting only when you find it necessary and actually have something to say rather than holding it every Wednesday or Friday. Sketch out the agenda and stick to it so that you don’t get distracted during the meeting. Focus is the key to reducing those minutes.

Be Very Strict About Timings

If the meeting is supposed to start at 2 PM, it should start at 2 PM without delays. You may knock off 5 minutes for employee delays but you shouldn’t be more flexible than that. Waiting causes restlessness as well as waste of time.
Also, try keeping meetings short. 45-minute-meetings and one-hour-meetings barely serve any purpose. Experts say you should be able to restrict yourself to 20 minutes if you are focused.

Have An Employee Document All The Minutes of the Meeting

Documenting the decisions made and the topics covered during the meeting will help with efficiency. These minutes can be circulated among employees later on to avoid confusion. Have one person or two people take care of this.

Club Meeting With Lunch Time or Before Lunch Time

You may conduct a meeting from 12 to 1 PM. Lay out snacks or food for your employees and that will act as a great lure to attract their attention. They can cool off after the meeting (lunch time) and get back to work for the second half.

Use Video Calling Options To Connect Remote Users

If you have remote employees as well, connecting over video calling channels is a great way to conduct meetings. This saves time and enables everyone to be in the loop without hassle.
